Germantown Academy is an independent, coeducational, college preparatory day school located on a beautiful 126-acre campus in the Fort Washington suburbs near Philadelphia, Pennsylvania. The school serves more than 1,200 students in grades Pre-K-12. Position Purpose: We are seeking candidates with three years of professional experience for the full-time position of Advancement Associate, beginning as soon as possible. This is an excellent opportunity for an individual committed to professional growth in educational fundraising and donor relations within a fast-paced team that is continuing to evolve. As a member of the Office of Institutional Advancement and reporting to the Director of Alumni Relations, the Advancement Associate will provide programmatic assistance to the Office of Alumni Relations and the Office of Annual Giving to enhance alumni engagement and philanthropic support of GA. This is a 12-month, on-site position which offers an excellent array of benefits. The position is not eligible for tuition remission.

Essential Functions:

  • Support the Director of Alumni Relations and the Director of Annual Giving in various aspects associated with the execution of sophisticated alumni engagement and giving strategy.  
  • Coordinate select events for Alumni Relations and Annual Giving programs. Provide logistical support such as site/vendor selection, invitation and marketing plan, program development, day-of execution, and follow-up.
  • Assist with the coordination of alumni and annual giving volunteers. Manage the Alumni Ambassador Program through regular communications, reports, and goal achievement.
  • Develop and maintain the annual alumni outreach calendar, which includes programming, events, alumni communication, and engagement activities.
  • Assist in the development of content strategy and the creation of communications to alumni through direct and electronic mail, the GA website, and social media.
  • Participate in the GA/PC Day & Alumni Weekend planning team.
    • Collaborate in the planning of a multi-day alumni event that includes athletics contests, all-alumni gatherings, and reunion class parties.  
      • Functions to include, but not limited to, pre- and post-event communications, event planning, relationship management, solicitation, and stewardship.
    • Serve as a liaison to select reunion class committees and assist in the planning of class specific reunion events.
  • Support constituent data collection and accuracy.
    • Record alumni engagement activity and biographical updates in database.
    • Provide data reporting and analytics to support the Annual Giving program.
    • Assist in the data transfer from alumni applications to database.
  • Exhibit a willingness to grow as a frontline fundraiser focused on relationship building and obtaining philanthropical support from GA alumni.  
  • Assist the Director of Alumni Relations with additional projects as needed.

Qualifications:

  • Bachelor’s degree required.
  • Minimum of three years of transferable work experience associated with constituent relations.
  • Ability to manage multiple projects in a fast-paced environment, both independently and collaboratively.
  • Excellent interpersonal skills, both verbal and written. 
  • Detail-oriented with sensitivity to priorities, deadlines, and confidential material.
  • Ability to travel, work evenings and weekends when necessary.
  • Proficiency in MS Office Suite including Outlook, Word, Excel, and PowerPoint (willing to provide advanced training as required).
  • Experience with database software, as well as internet-based communications.
